Record Retention & Data Confidentiality Statement (Public Statement)

Our Commitment

Guardian Middle East LLC, as the representative office of Guardian Assessment Pvt. Ltd., is committed to protecting the confidentiality of all information obtained in the course of its operations. We recognize that clients, stakeholders, and regulators entrust us with sensitive information, and we take this responsibility with the utmost seriousness.

Confidentiality

  • All information received by Guardian Middle East LLC and Guardian Assessment Pvt. Ltd. in the course of certification or representation activities is treated as strictly confidential, unless disclosure is required by law, regulation, accreditation rules, or contractual obligations with competent authorities.
  • Personnel, auditors, and representatives are bound by formal confidentiality agreements.
  • Information about clients, including audit results, documents, and personal data, will not be shared with third parties without prior written consent, except where legally required.

Record Retention

In compliance with ISO/IEC 17021-1:2015 and applicable regulations:

  • Records relating to applications, audits, certification decisions, complaints, appeals, and other certification activities are securely retained for a minimum of seven (7) years, or longer if required by law, accreditation body rules (UAF/IAS), or Qatari regulatory requirements.
  • Retained records are protected against unauthorized access, alteration, or loss through both physical and electronic security controls.
  • Access to records is restricted to authorized personnel with legitimate business or regulatory need.

Data Protection

  • Guardian Middle East LLC complies with the Qatar Financial Centre (QFC) Data Protection Regulations, Qatar Standards requirements, and international data protection principles (including GDPR where applicable).
  • Personal data is collected and processed only for legitimate purposes such as regulatory reporting, certification management, and client communication.
  • Individuals have the right to request access, correction, or deletion of their personal data, subject to legal and accreditation requirements.

Disclosure to Regulators and Accreditation Bodies

Certain information may be disclosed to regulators, accreditation bodies (UAF, IAS), or competent authorities (such as QS Authority in Qatar) for compliance and oversight purposes. Such disclosures are limited to the minimum required and handled in line with confidentiality agreements.

QS Registration Context

Guardian Middle East LLC affirms that no client records or certification applications will be accepted or retained in Qatar until QS registration is formally completed in accordance with Qatar Standards Authority Regulation 363/2018.
